POSITION SUMMARY:

Assist in the running of Youth Baseball, Youth Basketball, Parent/Child and any new youth programs that may develop in the Sports Department.  Coordinator will manage gym supervisors and be a liaison between the YMCA and parents.  Incumbent will be responsible for the sports department in the absence of the Sports Director

ESSENTIAL FUNCTIONS:

  1. The job consists of working with volunteers, program participants and their parents.
  2. Assist the Sports Director in training new employees within the Sports Department, including Building Supervisors, Referees, and other seasonal staff, ensuring consistent standards, safety practices, and alignment with YMCA policies.
  3. Coordinate communication with stakeholders — including coaches, parents, and participants through PlayerSpace, email, and other communication platforms to provide timely updates regarding games, practices, schedules, and program changes.
  4. Composes memos and correspondence not requiting the attention of the director.
  5. Maintains daily calendar and appointment schedule with coaches, officials, and building representatives.
  6. Keeps daily records of game scores and standings to produce to all parents and marketing. 
  7. Helps assist Sports Director in court/field readiness. 
  8. Conducts coaches and official’s clinics as requested
  9. Prepare information for the  Marketing Director to create printed material, posts, etc.
  10. Communicate with members, program participants, coaches, volunteers of various meetings.
  11. Billing of sponsor fees for all programs
  12. Receive and track program fees and donations.  Prepare reports as requested.
  13. Coordinate the purchase of program supplies.
  14. Code with charge account numbers receipts, invoices, vouchers, purchase orders, etc. to the accounting department weekly.
  15. Verify accuracy and submit refunds to the accounting department.
  16. Review budget and financials monthly with Sports Director to ensure goals are being meet for all sports programs. 
  17. Maintain and inventory all equipment and supplies assigned to the Sports Department.
  18. Oversight of concession stand which may include but is not limited to; purchase food & supplies, stock concession, as well as prepare pre and post concession summary.
  19. Hire and train employees and volunteer concession staff.
  20. Report incidents & accidents to Sports Director and HR
  21. Develop meaningful and sustainable relationships with members, donors and volunteers
  22. Must possess problem solving, organizational and task management skills; ability to make independent and sound decisions in a rapidly changing environment
  23. Must be detail oriented and exhibit a high degree of accuracy and alertness
  24. Must demonstrate initiative in absence of supervision
  25. Must be able to relate to and work with diverse groups of people in a friendly and consistent manner
  26. Must work collaboratively as a team member as well as independently and lead by assigned goals, duties and deadlines
  27. Must possess ability to exercise high levels of discretion and confidentiality
  28. Must present a neat and professional appearance at all times

PHYSICAL DEMANDS:

Must be able to routinely perform the following physical activities; climb stairs, bend, stoop, kneel, twist, reach with hands, sit, stand for extended periods of time, walk, lift and/or move up to 50 pounds, have finger dexterity, grasp, perform repetitive motions, talk, hear and have visual acuity to perform detailed tasks

Qualifications

  1. Bachelor's degree in administration, recreation, sports management, or a related field preferred.
  2. Must have work experience and knowledge of youth sports.
  3. Must have 3 years work and/or volunteer experience in various YMCA programs or other youth programs similar to those the YMCA offers.  Experience must demonstrate the  knowledge of the principles, concepts, and methods of youth sports
  4. CPR/AED/First Aid Certification required within 60 days of employment.
  5. Risk Management & Abuse training required within 30 days of employment.
  6. Experience with automated data processing procedures and administrative correspondence.
  7. Experience in customer service with strong verbal and written communication stills
  8. Must be able to work with little supervision.
  9. Organizational and supervision skills.
  10. Experience in the organization and implementation of youth activities, including sports & activity programming.
  11. Strong computer skills including but not limited to Word, Excel and PowerPoint.
  12. Actively participates in membership growth.
  13. Adheres to association and position training requirements.
  14. Participates in annual fundraising.
  15. Work various hours and locations to meet association needs.
  16. Perform other duties as assigned by the manager
